About the role
Day-to-day running of the purchase ledger. Responsible for the timely inputting of purchase invoices, credit card expenses, employee expenses and other day to day AP tasks. Your key relationships internally will be all Hero UKI employees and externally it will be suppliers, the bank and auditors
Key responsibilities:
- Maintain the purchase ledger, ensuring purchase invoices and credit notes are accurately processed and posted into SAP in a timely manner.
- Maintain accurate supplier records, including supplier details, bank information and payment terms, in accordance with internal controls and approval processes.
- Act as a key point of contact for suppliers, responding to queries and resolving invoice, statement and payment discrepancies promptly and professionally.
- Prepare and process supplier payment runs, monitoring relevant bank balances and ensuring payments are accurate, appropriately authorised and made in line with agreed payment terms, while maximising available settlement discounts.
- Complete monthly supplier statement reconciliations, investigating and resolving outstanding or aged items to maintain an accurate and well-controlled purchase ledger.
- Process and monitor company credit card and employee expense claims, ensuring they are submitted on time, accurately coded, appropriately authorised and correctly recorded within SAP, following up or escalating outstanding items where required.
- Support month-end activities, including relevant journals, reconciliations, accrual information and other Accounts Payable requirements to support an accurate and timely month-end close.
- Maintain an accurate, complete and audit-ready purchase ledger, supporting audit queries, sample requests and process walkthroughs, while working with the wider Finance team to continually improve AP processes and controls.
Sustainability
- Responsible for ensuring that sustainable and ethical practices are a key function of your day-to-day role. As the interface with our customers and consumers you will have a clear understanding of HeroUK&I sustainability policies, plans and practices and communicate these with stakeholders, as well as support delivery of initiatives. You will ensure best practice is delivered on all projects so excessive packaging, wastage, poor supply chain practices and potential write-off concerns are not incurred.
`About you
- Previous experience working within an Accounts Payable / Purchase Ledger environment
- Experience using SAP S/4HANA or a similar ERP system desirable
- Strong attention to detail and accuracy, with the ability to organise and prioritise workload to meet deadlines
- Strong communication and interpersonal skills, with the ability to work effectively with suppliers, internal stakeholders and as part of a team
- Good problem-solving skills, with the ability to investigate and resolve invoice, payment and reconciliation queries
